Kyocera scan to email with Microsoft 365: the settings that work

Kyocera TASKalfa printers send scans by plain SMTP, and Microsoft 365 no longer accepts that directly. The fix is to point the printer at a relay on your network that does the modern authentication for it. These are the settings, in Command Center RX (the printer's web page, Admin login). They apply to TASKalfa and ECOSYS MFPs (also Copystar, Utax, Triumph-Adler); menu names differ a little between firmware generations.

Before you start

Settings in Command Center RX (the printer's web page, Admin login)

Open Function Settings → E-mail → SMTP (older firmware: Advanced → E-mail → SMTP) and set:

FieldValue
SMTP ProtocolOn
SMTP Server Namethe SMTP-365 appliance's IP address
SMTP Port Number2525
Authentication ProtocolOff
SMTP SecurityOff
Sender Addressthe scanner mailbox address

Port. The port is on the same page (SMTP Port Number).

Save, and restart the printer if it asks. Nothing else in the email setup needs to change: the address book, scan-to-me, scan-to-folder and fax forwarding are unaffected.

Model note. Kyocera refuses to send without a Sender Address. The Test button next to the server name checks the connection only; do a real scan to confirm delivery. On TASKalfa the same page is reachable on the panel under System Menu → Function Settings → E-mail.

Test it

Scan to a one-off address from Send → E-mail Addr Entry. Within a few seconds it should arrive from the scanner mailbox. On the appliance, the Status page shows the job as delivered. To scan to SharePoint, add a route and put its address in the printer's address book.

Why this is the right fix

The printer goes back to plain SMTP on the LAN, with no mailbox password stored in it and no TLS to fail on old firmware. The appliance holds one application identity in your tenant with at most three permissions (Mail.Send, Sites.Selected, and Mail.ReadWrite for large attachments; apply the Exchange scope the setup page gives you to limit the mail permissions to your scanner mailbox), sends every scan as your scanner mailbox, and delivers through Microsoft Graph. The same appliance serves every other Kyocera device on the site, every other brand, and the UPS, NAS and servers that also need to send email. Background: what Microsoft changed.

Fix it once, for every device. SMTP-365 is a small appliance on your network that accepts plain SMTP from printers, UPSs, servers, NAS and phone systems and delivers it into your own Microsoft 365 tenant with modern authentication. One licence covers every device on the site. Download the free 30-day trial See pricing
